What a construction daily report should include

Every template you can download asks for roughly the same ten things. The difference is whether they get filled in every day. This is the checklist the sample above follows.

  1. 1

Date, project, location and who filed it

The three things a dispute turns on first. If any is missing the report is hearsay.

  2. 2

    Weather for the day

Temperature, conditions, rain and wind. Weather delays are the most common claim and the easiest to disprove without a record.

  3. 3

    Work performed and where

What was done, in which area or grid line, and what is planned next. Enough that someone who wasn't there can follow progress.

  4. 4

    Labour by trade and company

Head count and hours per trade, own crew and subcontractors separately. This is what a labour-inefficiency claim is built from.

  5. 5

Equipment on site and its status

Working, idle or broken, with hours. Idle equipment is money; broken equipment is a delay in waiting.

  6. 6

    Deliveries and materials

What arrived, from whom, at what time, received by whom. A late delivery noted the same day is evidence; remembered a month later it is an opinion.

  7. 7

Delays, with cause and responsible party

Type, start and end, impact and who owns it. Keep it factual; the delay register is what the extension-of-time claim quotes.

  8. 8

    Safety: toolbox talk, PPE, incidents

Even 'no incidents' is worth recording daily. A gap in the safety log reads as a day nobody checked.

  9. 9

    Photos with time and location

Photos prove nothing without a captured time and place. Stamped, hashed photos do.

  10. 10

    Sign-off and a tamper-evident seal

Who submitted it and proof that it has not been edited since.

Daily report template or an app?

A Word or Excel daily report template is free and fine for a crew that will actually type it up every evening. In practice the template is filled on Friday for the whole week, photos live in someone’s phone gallery, and the weather column says “fine”.

  • The app fills the same ten sections from two minutes of talking.
  • Photos are taken in the app, so the time and GPS are captured and stamped, not typed.
  • Weather is looked up for the date and address; nobody argues about it later.
  • Submitting seals the record. A template PDF can be edited by anyone with Word.
  • The Free plan covers one project, which is what most people are downloading a template for.

How this sample was made

The page and the PDF are produced by the same code that customers use. The company, project and people are fictional; the photos are licensed stock images. Everything else, including the fingerprint format and the photo stamps, is what a real report carries. You can check a real report’s fingerprint on the verify page.
