How to get a great report from AI fill
Talk through the day for one or two minutes, tap Fill report from notes, then check each section. Here’s what to say so the report comes out complete the first time.
Say it in this order
- Work done. What got finished, and where: level, area, grid line.
- Crew. Trade, company, head count and hours: “4 framers from Smith Co, 8 hours.”
- Equipment. Machines on site, hours used, anything idle or broken and why.
- Deliveries. What arrived, how much, from which supplier, what time, who signed.
- Delays. The cause, start and end time, and who it's on: “Rain stopped work 10 to 12.”
- Safety. Toolbox talk done or not, any incidents or near misses.
- Tomorrow. What's planned next, if you know.
A good example
Framing on level 2, east side. 4 framers from Smith Co, 8 hours. Mini excavator on site 3 hours, then idle, hydraulic leak, Johnson Rentals coming tomorrow. Concrete delivered 9am, 6 yards from CityMix, received by Dave. Rain stopped work from 10 to 12. Still waiting on the owner for the window spec, that’s holding up level 3. Toolbox talk done on ladder safety, no incidents. Tomorrow: sheathing on level 2.
That’s about 40 seconds of talking, and it fills work done, crew, equipment, a delivery, two delays with who’s responsible, safety and tomorrow’s plan.
Common mistakes
- Talking about everything at once. Go one topic at a time. The AI sorts it better and nothing gets missed.
- Leaving out numbers. “Some guys” becomes 0 workers. Say “five guys”.
- Not naming who caused a delay. If it's the owner, the GC or a supplier, say so. That line matters most in a dispute.
- Skipping the check. Read the filled sections before you submit. The AI only records what you said, and it can mishear.
If AI fill doesn’t work
- Your notes are always saved with the draft. Nothing is lost.
- AI fill tries again on its own and switches to a backup service if needed. If you still see an error, tap Try again after a minute.
- Very long notes (over about 2,000 words) need splitting: fill from the first half, then add the rest.
- No signal? Save the draft and fill when you’re back online.
